This policy explains how personal information is handled through the Next Circuit Recycling Solutions website and when you contact NCRS.

We aim to handle personal information consistently with the Australian Privacy Principles where they apply, and to use reasonable privacy practices whether or not every provision of the Privacy Act 1988 (Cth) applies to us at a particular time.

1. Information we collect

When you use the enquiry form or contact us directly, we may collect your name, work email address, organisation, telephone number, enquiry type, message, correspondence and any other information you choose to provide.

Please do not submit confidential process information, assay reports, regulated documents, special-category personal information or personal information about another person through the public form. If further material is relevant, we will establish an appropriate confidential exchange method.

Our website and hosting systems may also record technical information such as IP address, browser type, device type, requested pages, timestamps, referring page, response status and security events. This information is used to operate, secure and diagnose the website.

2. Why we collect and use information

We may collect, use and disclose personal information to:

• assess, route and respond to material, pilot, technical, downstream or strategic enquiries;
• communicate with you and manage a potential or existing business relationship;
• evaluate material or opportunity suitability at a high level before agreeing a confidential process;

We do not sell personal information. We do not use website enquiry data for unrelated mass marketing.

3. Website forms and email

The website uses WordPress and Contact Form 7 to process enquiries. Form submissions are sent to NCRS by email. The form is not intended to create a permanent searchable submission database in WordPress, although messages may appear temporarily in technical systems, security records or backups and are retained in our email and business records as appropriate.

Internet email is not a secure channel for sensitive technical or regulated material. Sending an enquiry does not create a confidential, commercial, advisory or material-acceptance relationship.

4. Analytics, cookies and anti-spam controls

We use privacy-focused, first-party website analytics configured in cookieless mode to understand aggregate page use and successful enquiry events. Analytics information is hosted within our WordPress installation and is not used for cross-site advertising profiles.

We may use Cloudflare Turnstile or a comparable anti-spam service on public forms. That service may collect limited device, browser, network and interaction information to distinguish legitimate submissions from automated abuse. Essential cookies or local storage may be used where technically necessary for security, administration, accessibility preferences or core website operation.

5. When information is disclosed

We may disclose personal information only where reasonably necessary to:

• website hosting, security, anti-spam, authenticated mail, email and professional service providers acting for us;
• technical, laboratory, logistics, downstream or commercial advisers when you have asked us to progress an enquiry and the disclosure is appropriate;
• regulators, courts, law-enforcement bodies or other parties where required or authorised by law; or
• participants in a proposed restructure, financing or transfer of the NCRS business, subject to appropriate confidentiality and legal controls.

Some service providers may process limited information outside Australia or through globally distributed infrastructure. We select and configure providers with regard to privacy and security, but overseas recipients may be subject to different legal regimes.

6. Retention

We retain enquiry and correspondence records only for as long as reasonably required for assessment, relationship management, business records, legal obligations and dispute resolution. Enquiries that do not progress are generally reviewed for deletion within 24 months of the last substantive contact. Records connected with an agreement, regulatory requirement or dispute may be retained longer.

First-party analytics records are generally retained for no more than 12 months. Routine technical and security logs are generally kept for shorter operational periods, subject to security investigations and backup cycles.

7. Security

We use reasonable technical and organisational safeguards appropriate to the website and information involved. These may include encrypted connections, access controls, multi-factor authentication, least-privilege administration, software updates, monitoring and backups. No internet transmission, email or storage system can be guaranteed completely secure.

8. Access and correction

You may ask to access personal information we hold about you or request correction of information that is inaccurate, out of date, incomplete, irrelevant or misleading. Contact info@nextcircuitrs.com.au and provide enough detail for us to identify the relevant records. We may need to verify your identity and may refuse or limit a request where permitted by law.

9. Privacy complaints

Send a privacy complaint to info@nextcircuitrs.com.au. We will acknowledge and investigate it within a reasonable period. If the Privacy Act applies and you are not satisfied with our response, you may be able to complain to the Office of the Australian Information Commissioner.
